In short: Capture a receipt by web upload or mobile shortcut, AI extraction (Google Gemini, a third-party provider) pulls the merchant, line items, taxes, tips, totals, and currency, and Quaestor Ledger then automatically matches the receipt to the matching transaction. Anything that does not match cleanly is flagged for review.
How it works
Receipt handling is a four-step pipeline: you capture the receipt, AI extracts the details, Quaestor Ledger matches it to a transaction, and anything ambiguous is surfaced for review.
- Capture. Upload a receipt image from the web app, or send one from your phone with a mobile shortcut.
- AI extraction. The image is read by Google Gemini — a third-party AI provider accessed via an OpenAI-compatible API — which pulls out the merchant, line items, taxes, tips, totals, and currency. This is not proprietary AI; it is a third-party model.
- Automatic matching. Quaestor Ledger matches the extracted receipt to the right bank or card transaction in your ledger, so the receipt and the spend line up.
- Review the rest. Receipts or transactions that cannot be matched confidently are surfaced for review, so you can confirm or correct them rather than losing track of them.
